Our transcription facility uses Windows server to host the transcription system
and all the applications. All our Transcriptionists have Windows 95 client
machines and have access to all the word processing software (MS WORD, Word
Perfect, Acrobat Reader.) and transcription specific software (Medical spell
Checker, Specialty specific Dictionary, Drug reference manual etc.). The files
are retrieved from the Voice File server in any remote location continuously to
the local Windows NT server from which the jobs are assigned to the
Transcriptionists, and QA personnel. The system monitors individual performance
for closed loop feedback and transfers approved transcription files back to our
customers to retrieve.
Our infrastructure includes Transcription center with a combined strength of
over 50 Transcriptionists. Our business plan for the year is to reach a figure
of 100 Transcriptionists working round the clock, 7 days a week, 365 days a
year, capable of handling voice formats from BCB (pcdart), DVI, Dvips,
Dictaphone systems etc.
The following highlights important elements of our quality plan. Each Client
account will be divided and organized as small groups of 5 transcriptionists
headed by a team leader. To attain maximum efficiency each dictating Physician
will be assigned to two or three transcriptionists. This will allow the
transcriptionist to develop the necessary skills to adapt to the needs of the
Physician. The team leader will assess the level and progress of each of its
members continuously and decide the QC review requirements for each team
member. A minimum of 10% of the work will go through 100% QC inspection for
each team member irrespective of their proficiency level
The 100% inspection means that each document will be reviewed in its entirety
· Play the Voice files completely to verify that the transcription truly
reflects the dictation
· Medical specialists will check the document for medical content accuracy
· Proofreader will check the complete document for the language, grammar and
spelling
· Check the document for formatting and data
The transcriptionists will be continually monitored and the appropriate level
of quality check will be determined based on the track record. All the
documents will be subjected to an interface test before it is released to make
sure that it will not be rejected by the clients internal system. Vicapri will develop a system to simulate the loading of the Files. The
purpose of the simulation is that all the documents comply with the interface
requirements and any formatting error is caught before the file is released to
the client.
The entire database will be made available to the client to conduct the monthly
random sampling quality tests to verify the line count, formatting, content,
grammar and spelling We currently handle work out of Transcription companies in
the United States.
